The Future of Safety Management

 TrendSafe offers a suite of modules that work together to improve the health and safety of your workplace. Entrenched within the software is detailed reporting and analytical functionality that provides sophisticated insights and trends. 

Safe Act Report is designed to recognize compliance with safety behavioral requirements. Compliance is recognized under critical risk management and/or organizational behavioral rules. Safe Act Report forms part of the TrendSafe Behavioral Based Safety (BBS) Program as well as contributing to the Lead Indicators.

 Hazard Report is designed to identify specific hazards and associated damaging energies. A system for recording and reporting any unsafe act or condition that presents a health and safety risk.  A key safety process for all personnel, the TrendSafe Hazard Report is structured to guide personnel through the identification and classification of hazards, generating an insightful set of metrics and trends. Hazard Report contributes to all TrendSafe Lead Indicators. 

 Task Assessment assesses the level of safety and health compliance whilst tasks are being executed, assessing compliance with documentation, behaviours, physical conditions and competencies. More than a cursory glance, it is a comprehensive assessment of compliance to task requirements. Versatile for use on any task being undertaken. Task Assessment provides immediate feedback to personnel through a structured safety discussion. Corrective Actions are either undertaken immediately or managed through the TrendSafe Action Management module. A detailed set of trends and metrics are generated, including risk levels and critical risk management, with a complete range of filtering options. Task Assessment is a key component of behavioural safety and contributes to the Behavioural Based Safety Indicator (BBSI).

 Plant / Area Inspection ensures work areas and equipment do not present unacceptable risk to personnel. Assessing compliance with the functional status, general order, access and operability, notification and emergency preparedness of an area or an item of plant or equipment. Versatile such that it can be used for specific work locations (e.g. production area, warehouse, laboratory, workshop) or items of mobile plant (e.g. telehandler, forklift, elevated work platform, excavator).

Plant / Area Inspection can be used for:

• Routine work area inspections
• Pre-handover construction inspections
• Random mobile plant inspections
• Pre-use mobile plant inspections

Task Risk Management facilitates the identification of hazards and associated controls for a task that is to be undertaken. Integral to Task Risk Management is a series of prompts for damaging energies and their aligned hazards as well as control selections. 

 Task Risk Management can be used for:

• New tasks that are unfamiliar to the workgroup
• Tasks of a more complex nature
• Significant changes in methodology that require a comprehensive review of risks
• General task based risk assessment that can be conducted at the work location

 Action Management tracks actions generated from TrendSafe modules with the additional functionality to add actions from other sources. A complete workflow process, from action generation to nomination of a responsible person to sign off. The Action Management module enables upload of documents to support action completion. For simple Action Closeout when upload of documents is not necessary you can even use your mobile app. 

The Checklist module allows users to create customised checklists for use across various applications. These checklists can include an unlimited number of questions, supporting tasks ranging from simple inspections to comprehensive system audits. Once created, the checklist is accessible via the TrendSafe mobile app, enabling users to assess compliance for each question. Non-compliances can be documented with detailed descriptions, photographs with captions, and even highlight non compliances with critical risks and behavioural rules. Required actions can also be assigned and monitored through the action tracking module.

In the platform’s reporting section, a dedicated tab enables users to generate reports and analyse trends related to each checklist.

The Hazard Observation module enables anyone to promptly and effectively report unsafe acts or conditions observed in the workplace. Each site can generate a unique QR code, allowing quick, password-free access to the module via any mobile device. Through the mobile app, users can provide detailed descriptions of the observation, attach photos with captions, and specify actions taken to address the issue.

For users with desktop access, additional actions can be assigned and monitored through the action tracking module. Comprehensive reports with advanced filtering options are also available through the desktop platform. Completed hazard observations contribute to site lead indicators and are tracked within the KPI module for performance monitoring.

A versatile and practical module providing a process and structure to satisfy many key safety management requirements. Plan & Review utilises data and findings from previous safety and health assurance activities to assist in planning of activities or as the basis for review of performance.

Planning uses include:

• Major project safety planning – detailing high level safety approaches for the duration of the project
• Lookahead safety planning – an upcoming scope of work requiring planning and directives to ensure safe execution.
• Preparation for a formal risk assessment – An initial gathering of information prior to formalising a risk assessment.
• Client directive to a contractor – specific directives for the management of risks associated with upcoming work.
• Safety department directive to a contractor or internal department.
• General direction for the execution of a task.
• Planning prior to development of TrendSafe Task Risk Management.
• Planning for emergencies – documenting actions required to facilitate evacuation or management of particular emergency situations. Used as a basis for developing specific plans.
• Post incident restart planning - After a significant incident part or whole of a site may be required to stand down until some minimum actions are taken.  Plan & Review is used to give the directives to the site or area prior to restart.

 Review uses include:

• Management reviews - at any level of an organisation from department up to whole company.
• Contractor Re-focus – where there are concerns about contractor safety performance the metrics can be presented with issues raised and required actions going forward agreed.
• Contractor Reviews – at the end of a project or scope to determine suitability for continued work or as a routine review at set intervals during a project.
• Major Activity Review – Upon completion of a major activity such as a shutdown.

The Incident Report records comprehensive details about an incident, categorized under Injury, Environmental, Damage, and Near Miss/Non-Compliance. Specific classifications within each category (such as LTI or MTI) are defined by the client and selected when an incident occurs.

While entering an incident, relevant details are provided either by choosing from drop-down fields or entering information in free-text fields, including a detailed incident field and an incident summary field. The incident report module allows for uploading photos and other documentation relevant to the incident.

There is also space to outline actions taken and any further actions required. Follow-up actions might include a full investigation, which can be added as a further action and signed off upon completion of the detailed investigation.

A comprehensive incident report can be generated as a PDF document, with options to download it or email it directly to key stakeholders.

 Incident Investigation is designed to identify immediate causes as well as system and organisational failures. A detailed analysis of findings such that all root causes are readily identified and classified to enable an insightful set of metrics. The system aligns with other TrendSafe modules such that trends can be analysed to provide a comprehensive analysis of performance. Incident Investigation generates a comprehensive report for issue to key stakeholders.
